Events and Outreach Coordinator – Ann Arbor

 

Ele’s Place is seeking a full-time Events and Outreach Coordinator for their Ann Arbor, Michigan location. The Coordinator is responsible for coordinating events, volunteers, speaking engagements, and other activities that educate the public and raise funds and other support for Ele’s Place programming.

Essential Job Functions::

  • Coordinate events and other activities to increase awareness of, and support for grieving children, teens, and their families.
  • Plans, budgets, and implements all approved events.  
  • Ensures all deadlines are met. 
  • Maintains detailed action plans and run-of-show specs for each event.  
  • In conjunction with other fund development staff, assists with volunteer needs for fundraising events.
  • Leads sponsorship activation efforts (stewardship, communication, and implementation of sponsorship agreement). Works with the Fund Development team who will lead sponsorship sales and solicitation efforts.
  • Leads all event evaluations efforts including reporting and future projections. Develop thank you and recognition of all event attendees, sponsors, and volunteers.  
  • Lead the recruitment, management, and retaining of event volunteers. Assist the Program Director with program volunteers. Assist the Branch Director with Community Board volunteers. 
  • Recruit event volunteers and ambassadors, serves as liaison to appropriate committees and coordinates committee planning meetings with the Branch Director. Ensures volunteer time is used appropriately and effectively.
  • Supports volunteers to help them meet their responsibilities. Ensures all volunteers feel valued and are properly thanked and recognized. Developing volunteer trainings with the Program Director. 
  • Serve as an ambassador of Ele’s Place, educating the public about issues surrounding children’s grief and the services Ele’s Place provides.
  • Coordinates Tours of the Heart and educational tours, including scheduling, promotion, and recruiting of guests; set up and take-down, strategic invitation of appropriate members of the community.
  • Participates in tours as needed and recruits appropriate staff and volunteers to assist with or lead tours. Ensures follow up with attendees as needed.
  • Develops and maintains relationships with community organizations and referral sources for grieving children. Actively seeks speaking engagements and outreach opportunities in the community. Responds to requests for ambassadors and speakers.
  • Maintains records of all outreach activity and provides monthly reports using Ele’s Place CRM (Raiser’s Edge). Maintains a current list of community organizations who utilize our services or materials.
  • Work within the Fund Development team to implement partnership and sponsorship contractual obligations to ensure a quality investment.
  • Works with the Fund Development team to solicit in-kind donations for events, lead sponsorship activations for events, and other tasks as needed. 
  • Assist with the creation and distribution of all branch marketing efforts.
  • Responsible for working with the umbrella Marketing team to create marketing assets for all Branch events. Monitors and restocks printed materials in the office and throughout community. In conjunction with the Communications Manager and the marketing company, oversees the development and maintenance of Ele’s Place website and social media sites. Reviews website for communication consistency and provide updates as needed. Manages social media platforms on an ongoing basis.

Expectations: The individual Branch offices represent Ele’s Place in its entirety within their respective geographical region and their unique communities. 

This position connects the local community with Ele’s Place, increasing awareness of, and support for grieving children, teens, and their families. 

This position may have access to children, sensitive information, financial information, etc. and is subject to a criminal background check. Background checks are completed before onboarding with Ele’s Place and annually thereafter to mitigate risk, ensuring everyone’s safety and well-being.

Education Requirements: High School diploma or equivalent; Associate’s or Bachelor’s degree in related field preferred.

Certifications, Licensure, Registrations: N/A

Experience Requirements: 

  • Minimum one to three years event planning management experience.
  • Experience in communications, community outreach, and administration, as well as working with children, families and residents at the local level.
